The short version: most late payments are forgetfulness, not refusal. A short, polite, factual reminder, sent early and followed by a firmer message on a fixed schedule, collects the majority of overdue invoices without damaging the relationship. Below are copy-paste templates for each stage.
Freelancers wait an average of 39 days to get paid and spend 8-12 hours a month chasing invoices. The fix isn't chasing harder; it's chasing systematically.
Stage 1: Friendly nudge (due date, or 1-3 days after)
Subject: Invoice [#1234]: friendly reminder
Hi [Client name],
Just a quick note that invoice [#1234] for [$1,500] was due on [June 30]. I know these things slip through, so here's the invoice again for convenience: [link/attachment].

Thanks!

Why it works: no accusation, no apology, one clear action. Never write "sorry to bother you"; you're not bothering anyone by asking for your own money.
Stage 2: Firm reminder (day 7)
Subject: Invoice [#1234] is now 7 days overdue
Hi [Client name],
Following up on invoice [#1234] for [$1,500], which was due on [June 30] and is now a week overdue. Could you let me know when I can expect payment?
If there's an issue with the invoice or payment method, tell me and I'll sort it out today.

Why it works: it asks for a date, not just money. A client who replies "Friday" has made a commitment you can follow up on.
Stage 3: Formal notice (day 14-21)
Subject: Overdue notice: invoice [#1234] ([$1,500], due [June 30])
Hi [Client name],
Invoice [#1234] for [$1,500] is now [3] weeks past due. Per the payment terms on the invoice, a late fee of [1.5% per month] applies from [July 15] unless payment is received this week.
If payment has already been sent, please disregard this notice and let me know the date it was sent.

Why it works: the tone shift comes from structure (notice format, terms citation), not from emotion. Only mention late fees if they're actually in your terms.
Stage 4: Final notice (day 30)
Subject: Final notice: invoice [#1234]
[Client name],
Despite previous reminders, invoice [#1234] for [$1,500] (due [June 30]) remains unpaid. If payment is not received by [August 5], I'll have to pause work on current projects and pass this invoice to collections.
I'd much rather resolve this directly. Reply today and we'll close it out.

Why it works: a concrete consequence with a concrete date. Many freelancers report that a variant mentioning "my accountant now handles overdue invoices" gets fast results; the third-party framing removes the personal awkwardness.
The schedule matters more than the wording
Pick a cadence (due date → +7 → +14/21 → +30) and never skip a step. Clients learn quickly whether your invoices can be safely ignored. If writing and tracking these by hand is the part you keep putting off, DunPilot watches your unpaid invoices and drafts each reminder for you, tone-matched to each client's payment history and sent only with your approval.
Tired of chasing invoices by hand?
DunPilot finds your overdue invoices and drafts reminders tuned to each client's payment history. Nothing sends until you approve.
